From the actions button in the list of enquiries, you can invite the enquiry to complete an application online.
On selecting invite applicant, a new screen will appear for completion.
The first name, last name and email will be auto-filled but can be edited.
Check the letting unit address is correctly displayed.
Enter the proposed rent amount. If you have entered a proposed rent in the lettings particulars of the letting unit record, that amount will be autofilled.
Ensure the period of the rent is also selected (monthly or weekly).
Enter the proposed tenancy deposit amount. If you have entered a proposed tenancy deposit in the lettings particulars of the letting unit record, that amount will be autofilled.
Select from the dropdown if a guarantor is going to be required.
Here you can select whether you want the system to also ask for a holding deposit before they are sent to the application form.
If you select "yes", further options to complete become available:
Enter the deadline for agreement which is the latest possible time for an agreement to have been signed by all parties. By default it is 15 days from the date the holding deposit is received but can be extended by agreement.
If the move in date is greater than 15 days away, the date should be somewhere close to the move in date to allow time for the parties to sign up
if the proposed move in date is less than or equal to 15 days away, it should be left as default.
This amount is auto-calculated from the proposed rent from the lettings unit record. It must be no more than one weeks rent and should be rounded down. Please check this carefully.
Self explanatory and could be the same as the deadline for agreement date (depending how far away).
Enter the proposed contract duration e.g. 6 months, 12 months or whatever.
Once all data has been entered or you selected "no" for the holding deposit, hit save and a popup will appear to send the email.
Check the contents of the email and be sure not to delete the button containing the link!
Hit send and the email will be sent to the enquiry.
If you selected "no" to the holding deposit, the enquiry will be directed to the online application form and you will be notified when completed.
If you selected "yes" to the holding deposit, the enquiry will first be directed to some specified information and a holding a deposit agreement. They will be presented with your banks details and to confirm when they have made the holding deposit transfer. After this, they will be directed to the online application form. You will receive notifications when they have made the transfer and also when the application has been completed.
